1. Information We Collect

We collect information in three ways when you visit xcelerate-advisory.com, call or text our business line, or book a call:

  • Information you give us directly: Your name, business name, email address, phone number, website URL, and any message or details you submit through our contact forms, booking calendar, email, or phone and text conversations.
  • Call and text metadata: When you call or text 860.782.1125 (or another Xcelerate Advisory business number), our phone and customer relationship management (CRM) platform logs your phone number, call time, call status (answered or missed), and text message history so we can reply to you.
  • Basic website usage data: Standard log and analytics information collected by our website host (Squarespace) and booking tool (such as browser type, device type, pages visited, date and time of visit, and referring page).

2. How We Use Your Information

We use your information to:

  1. Respond to your questions, form submissions, calls, and text messages.
  2. Send an automatic text reply when we miss your phone call so we can help you right away.
  3. Schedule, confirm, and send reminders for your phone or video appointments.
  4. Prepare and deliver our Lead Leak Check, AI Front Office setup, Care Plan, and Growth Consulting services.
  5. Send administrative notices, invoices, receipts, and service updates.
  6. Maintain the security and performance of our website and business systems.

3. Mobile Privacy and SMS Opt-In Data (A2P 10DLC Compliance)

We respect your mobile privacy. No mobile information, phone numbers, or SMS opt-in consent data will ever be shared, sold, rented, or disclosed to third parties or affiliates for marketing or promotional purposes.

Information may be shared only with service providers (such as our phone, telecommunication carrier, and CRM platform providers) strictly to deliver messages and services you requested, or when required by law. All other categories of data in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties for marketing purposes.

You can opt out of text messages at any time by replying STOP to any text message from us, or by contacting rick@xcelerate-advisory.com. Reply HELP for assistance. See our Terms of Service (/terms) for full SMS program terms.

4. How We Share Information with Service Providers

We do not sell your personal information. We share data only with trusted service providers that help us run our business, and only as needed for them to do their job for us:

  • Website hosting: Squarespace (hosts xcelerate-advisory.com and processes website form submissions).
  • CRM, phone, and text messaging: GoHighLevel and its underlying telephony providers (processes calls, missed-call text replies, appointment texts, and lead records).
  • Email and calendar: Google Workspace and Calendly (hosts our business email and appointment scheduling).
  • Payments: Stripe (processes client invoice and card payments; we do not store your full credit card number on our servers).
  • AI drafting and workflow tools: Trusted AI service providers used to summarize inquiries and draft responses for human review (never used to sell or share your data for third-party marketing).
  • Legal compliance: We may disclose information if required to do so by law, subpoena, court order, or government regulation.

5. Cookies and Analytics

Our website runs on Squarespace, which uses necessary cookies to make the site work and basic analytics cookies to measure traffic and page views. You can block or delete cookies in your browser settings at any time.

6. Data Security and Retention

We protect your information using two-factor authentication, role-based access controls, and encrypted connections (HTTPS/TLS) across our email, website, and CRM tools. We keep contact and client records only as long as needed to serve you, maintain business and tax records, or comply with legal obligations.

7. Client Data When We Act as a Service Provider

When a business hires Xcelerate Advisory to set up or manage its AI Front Office or consulting workflows, our handling of that client's business records is governed by our written Pilot Agreement or Client Service Agreement with that business. We access client accounts through delegated user or manager invitations rather than shared passwords, and the client retains ownership of its customer list, domain, and profiles.

8. Your Rights and Choices

You may ask us to view, update, export, or delete the personal information we hold about you at any time.

  • Text messages: Reply STOP to any text message to unsubscribe right away.
  • Emails: Reply "no thanks" or click the unsubscribe link in any commercial email to opt out.
  • Data requests: Email rick@xcelerate-advisory.com or call 860.782.1125 with your request, and we will respond promptly in accordance with applicable Connecticut and federal law.

9. Changes to This Policy

If we update this Privacy Policy, we will post the revised version on this page and update the Effective Date at the top.
